Napa’s shared commercial buildings

Multi-tenant property in Napa takes a few recognizable shapes. Downtown, multi-story office buildings lease suites from a few hundred square feet to several thousand, and newer buildings house several businesses under one roof. Each of these buildings has a front door, a set of hallways and a restroom core that every tenant shares.

Medical office buildings split into practice suites are another common shape. Business parks mix office, flex, light industrial and warehouse buildings, and our business park cleaning page covers those properties. Napa Janitorial gives the owners and managers of buildings like these one plan for every shared space and suite.

Lobbies, corridors and elevators

The lobby speaks for every tenant in the building, so it gets the most attention. Entry doors and sidelights are polished free of fingerprints, the tenant directory and mailbox bank are wiped down, and seating and planters are dusted. Elevator cabs get their walls, rails, door tracks and button panels cleaned, and stairwells get handrails wiped and landings swept.

Corridor carpet is vacuumed edge to edge along the walking paths and outside each suite door, while tile and vinyl hallways get a dust mop pass and then a damp mop. Drinking fountains, light switches and push plates are cleaned by hand. Buildings with steady visitor traffic through the day add day porter coverage, so the entrance and shared restrooms stay fresh between the evening visits.

Shared restrooms, kitchens and meeting rooms

Common restrooms are where tenants judge a building’s upkeep. Fixtures, partitions, mirrors and counters are cleaned and disinfected, floors are scrubbed into the grout lines, and soap, paper and liners are refilled from our stock or the building’s so no tenant has to call the manager about an empty dispenser.

Many Napa buildings also share a kitchenette, a conference room that tenants reserve, a fitness room or a shower and bike room for staff who ride in. Each is folded into the common-area route with its own task list. Lobby trash cans and the shared recycling and compost bins are emptied, and the enclosure outside is kept tidy, because a messy dumpster area is often the first thing a prospective tenant notices from the parking lot.

Tenant suites on their own schedules

Leases in a single building rarely match. One tenant’s full-service lease bundles janitorial into the rent, while the suite next door arranges its own cleaning. A single crew handles both: suites the building pays for follow the owner’s plan, and tenants who want more, such as an extra weekly visit or a carpet refresh before a client event, can add it directly.

Frequency follows the way each suite works. A medical practice wants exam rooms cleaned each evening to its own protocol with EPA-registered disinfectants, as described under medical office cleaning, while a two-person consultancy downtown is well served by two visits a week. Keys, alarm codes and after-hours access are set with the manager up front, so every tenant gets the same reliable service without separate arrangements at the front door.

Vacant suites and turnover between leases

A suite that sits empty and dusty is harder to lease. When a tenant moves out, the turnover clean resets the space for showings and for the next move-in date: walls are spot-cleaned, doors, frames and switch plates are washed, light fixtures and vents are dusted, and window sills and blinds are wiped. The restroom and kitchenette get a top-to-bottom scrub, inside the cabinets, the refrigerator and the microwave included.

Floors carry the most weight at turnover. Carpet gets hot water extraction through commercial carpet cleaning, and vinyl tile can be stripped and refinished so the suite shows like new. When the landlord funds a build-out for the incoming tenant, post-construction cleaning removes drywall dust and debris after the contractor finishes, and the final detail lands ahead of the key handover.

One plan and one contact for the manager

Property managers juggle owners, tenants, vendors and inspections, so the cleaning arrangement is built to be easy to oversee. Common areas, suites the building pays for, porter hours and periodic floor work sit in one written plan with one point of contact. Supervisors carry out quality inspections across the building, and the crews who hold your keys are background-checked.

The company carries insurance and workers’ compensation coverage, and a certificate of insurance goes to every client for the property file. Lobby floors get their own periodic care through floor care, from natural stone care for marble and terrazzo entries to strip-and-refinish work on vinyl corridors. Managers can reach the team 24/7 and hear back on any request within one business day.

What shapes the price for a managed property

Common-area cleaning is usually set as a flat monthly fee built on visits per week, and the plan for each building is quoted after a walkthrough. The biggest drivers are the square footage of lobbies, corridors and stairwells, the number of shared restrooms, and how many evenings a week the route runs.

Other factors add to or trim the total: whether the building pays for tenant suites, porter hours during the business day, elevator count, the share of stone, tile and carpet, and how often vacant units turn over. A downtown building with a busy lobby and full-service leases needs a different plan from a business-park flex building where tenants mostly look after their own space.

A few useful answers

Common questions.

Can individual tenants add cleaning beyond what the building covers?

Yes. A tenant can add extra visits, carpet extraction or a deep clean for its own suite, and that work is scheduled alongside the building’s regular route.

Can a vacated suite be cleaned in time for a showing?

Yes. The turnover clean is booked around the move-out date and the first showing, with walls, fixtures, restrooms, the kitchenette and floors finished before prospects walk through.

Will we receive a certificate of insurance for the property file?

Yes. A certificate of insurance is issued for every property on the plan, and we carry insurance and workers’ compensation.

Can a porter keep our lobby and restrooms tidy during office hours?

Yes. Day porter coverage handles the entrance, lobby glass, shared restrooms and trash through the business day, between the regular evening visits.

Who checks the cleaning across a building with many suites?

Supervisors carry out quality inspections of the common areas and the suites the building pays for, and the property manager has one contact for any follow-up.
